    The Resource Sharing Alliance (RSA), is a library automation consortia covering about 13,500 square miles of central and west-central Illinois. RSA provides a shared library automation system and direct support to 134 member libraries in 174 locations.

  • Job Description and Responsibilities

    Resource Sharing Alliance (RSA) is looking for our next Business and Marketing Coordinator to work in our Administration Department. We’re seeking an individual with a dynamic personality and welcoming sense of humor to join our small and collaborative team. Reporting to the Executive Director, the ideal candidate will be technically savvy, highly organized, detail-oriented and have excellent communication and problem-solving skills.

    ** This full time position is set to begin in January, 2026. **

    Position Summary:
    The Business and Marketing Coordinator plays a crucial role in supporting RSA’s operations, focusing on administrative tasks and facilitating communication with member libraries. Creates a marketing presence, designs and develops a variety of print and online communications and marketing materials to promote RSA programs, services, and patron-facing products.

    Core Job Functions:
    * Provides administrative support to management, including preparing presentations, reports, and communications.
    * Supports the preparation of financial reports and annual audits.
    * Assists with project management and tracking of project timelines and deliverables, ensures all necessary resources are in place, researches and gathers information as needed to support initiatives.
    * Ensures office policies and practices comply with applicable Illinois statutes and government regulations (e.g., Open Meetings Act, public records retention).
    * Coordinates with external vendors, members libraries, and RSA staff as needed for design or specialized campaigns.
    * Drafts, proofreads, and publishes marketing materials, newsletters, and website updates.
    * Assists with recruitment logistics: post job, schedule interviews, and coordinate candidate communications.
    * Maintains personnel files in compliance with Illinois record keeping requirements.
    * Processes new hire paperwork, benefits enrollment, and offboarding tasks.
    * Serves as front line administrator of employee benefits programs, acts as liaison to external HR consultants.
    * Develops, maintains and updates various payroll related reports such as 401(a) payouts, government labor reports, worker's compensation quarterly report, insurance premium reports, W-2s and 1095 reports.
    * Processes bi-weekly payrolls, tracks and administers vacation, sick and personal time records.
    * Assists with onboarding of new employees: conducts office orientation, explains policies, and coordinates with Managers for system access.
    * Cultivates constructive relationships and collaborates with colleagues, member libraries, library system staff, vendors, and other stakeholders with an emphasis on building consensus and relationships, achieving results, and advocating for member libraries.

    Working Conditions:
    * Work takes place at the RSA office in East Peoria and at member libraries.
    * Ability to work varied and extended hours, requiring occasional overnight and weekend travel as well as travel to member libraries during the workday.
    * Safely operate a fleet vehicle for RSA-related travel.
  • Minimum Requirements to Apply

    * Bachelor’s degree in Business Administration, Communications, or related field preferred.
    * 3+ years of experience in office management or administrative coordination, ideally in a government or technical environment.
    * Previous experience with the Open Meetings Act and working with municipal or public library boards is strongly preferred.
    * 1+ years of related professional experience that entails Human Resources coordination, payroll, bookkeeping, recruitment, and record keeping preferred.
    * 1+ years of experience utilizing a variety of design, marketing and/or public relations techniques and tools (including online tools) preferred.
    * Proven graphic design and editing experience (Microsoft Publisher, Adobe InDesign, Adobe Photoshop, Adobe Illustrator, GIMP, etc.) preferred.
    * Working knowledge of Microsoft Office Suite.
    * Possess valid driver’s license with a clean driving record.
