  • Job Description and Responsibilities

    Examples of Duties
    The Learning Commons Circulation Assistant is the primary point of contact for patrons, ensuring seamless access to library resources and technology. This role drives library engagement by providing outstanding public services and maintaining the operational efficiency of the circulating collection.

    Key Responsibilities and Essential Duties
    This specialist will execute a blend of traditional library support and technical services:

    Circulation and Patron Experience
    Front-Line Service: Expertly manage all circulation desk activities, including checking out materials, processing returns, re-shelving, and accurately identifying materials that are damaged or require preservation attention.

    System Management: Utilize the Ex Libris Alma platform to create and maintain accurate circulation calendars, correspondence, and patron records. Process written overdue notices to ensure the integrity of the collection inventory and service efficiency.

    Technology Support: Provide essential information and technical guidance to patrons regarding the use of campus technologies and library systems.



    Resource Access and Collections
    Interlibrary Loan (ILL): Facilitate resource sharing through Interlibrary Loan activities, leveraging platforms such as Ex Libris Alma, OCLC WorldShare, and the Illinois Library Delivery Service. Manage the preparation and receipt of items, ensuring strict adherence to protocols for record maintenance and bibliographic verification.

    IT Asset Coordination: Collaborate with the Library Coordinator and Information Technology Services to manage the circulation and maintain a precise inventory of loanable equipment, including laptop computers and related technology.

    Archival Preservation: Assist in the maintenance and updating of institutional print and digital archive collections. Work with Learning Commons Library Coordinators to identify and convert documents to digital format for long-term preservation.

    Team Support
    Staff Guidance: Assist the Library Coordinator with the essential training and functional supervision of library work-study employees.

    General Duties: Assume other reasonable professional duties and responsibilities as assigned by the supervisor.
  • Minimum Requirements to Apply

    Typical Qualifications
    Required Qualifications:

    High School Diploma or equivalent.

    Proven record of excellent communication (written and oral) and exceptional interpersonal skills.

    A strong, demonstrated service orientation and ability to communicate effectively with diverse groups, including students, faculty, and the public.

    Proficiency with basic office equipment and modern office productivity tools, including Microsoft Office and Google Suite products.

    Preferred Qualifications:

    Associate's Degree.

    Previous experience or training in library operations, information services, or related technologies.

    Work Environment & Functional Requirements
    Interaction: Frequent, high-level interaction with a diverse group of stakeholders, including college personnel, faculty, students, the general public, and representatives from external organizations.

    Supervision: Functional supervision responsibilities over designated library work-study students, including training and guidance.

    Physical Demands: This role is physically active, requiring approximately 70% of time spent standing and walking while assisting patrons and managing the collection (re-shelving); the remaining 30% involves sitting for data entry and materials processing. Must be able to safely lift up to 50 lbs.

    Schedule: Flexibility to work evenings and weekends as required by the library's operational schedule.
