Damaged Item Guidelines as of January 2026

The SHARE Circulation & Resource Sharing Committee is still finalizing a revision of the Damaged and Incomplete Item procedure, but in the interim, please follow these guidelines. 

If an item has minor damage that does not prevent its circulation, the requesting library should place a note on the inside of the item with the date and nature of the damage. Rubber bands should not be used in this case, since the item should be routed to the next stop via the AMHS.

If a library's material is returned incomplete or with major damage and cannot be circulated, the requesting library should provide the Report of Damaged or Incomplete Item Form, affixed with rubber bands, and cover up the barcode. This visual indicator for the IHLS sorters indicates that the item should not go through the AMHS, which would check the item in and put it back into circulation.
